Describe the home before comparing providers

Tell each manager whether the property is operating now, its furnishing status, any existing bookings or tenants, and your own availability. Ask whether the proposed service is for short stays or residential letting. The tasks, agreements and guest or tenant relationships differ, so compare providers against the same brief.

  1. Local care

    Who visits the property, what triggers a visit, and who covers absences? Ask how contractor access is coordinated.

  2. Guest or tenant support

    Which matters are handled routinely, which are emergencies and what happens outside normal hours? Request a clear escalation route.

  3. Owner visibility

    Ask to see an example report with private details removed. Check that it explains booking or rent activity, costs, repairs and unresolved matters.

  4. Approval and spending

    Ask what the manager may authorise, when you will be contacted and how an urgent decision is recorded.

  5. Evidence and exit

    Request relevant examples or owner references where appropriate. Read the notice provisions and ask what happens to records, keys and bookings if management ends.

Record what you actually learned

After each meeting, mark every question as answered, needs evidence or not suitable. Write the name of the person responsible for any promised follow-up. Avoid reducing the decision to a score based only on friendliness or headline price. A missing answer about repair authority matters more than a polished brochure.
