Write down who can decide, who must be contacted and how urgent issues are escalated.

Prepare a remote-owner handover

Give your manager your usual time zone, preferred contact method and an alternate contact with clearly defined authority. Share property records, appliance information and relevant supplier contacts securely. If you will be hard to reach while travelling, provide dates and explain which decisions can wait. Avoid relying on a single messaging account or phone number.

Agree three communication levels

  1. Routine updates

    Use the agreed reporting cycle for bookings, costs and completed work. Keep questions in one thread so decisions are easy to trace.

  2. Approval needed

    Ask for a description, options, estimate and deadline. Specify who can act if the primary owner does not respond.

  3. Urgent property problem

    Confirm the manager's authority and escalation process in the agreement. An emergency should not depend on waiting for your next morning online.

Check access and financial changes carefully

Keep keys, access devices and contractor permissions in a current register. Verify changes to payment instructions through a trusted contact route, especially if a message is unexpected. Request property-focused reports and photographs without collecting unnecessary guest or tenant information. Record important approvals where they can be found later.

Match the plan to the rental type

Mellow offers short-stay management and residential management, with different day-to-day responsibilities. For residential landlords leaving New Zealand for more than 21 consecutive days, Tenancy Services says a New Zealand agent must be appointed before departure. Check current requirements for notices and records with your manager. Short-stay owners should also confirm property-specific insurance, permissions and their management agreement rather than assuming residential rules apply identically.
