Write a guest manual people can actually use

A guest manual should answer the question someone has right now. Keep the essential information easy to find, then add short instructions for the things that are less obvious.

Before you start

Test your instructions with someone unfamiliar with the home, using the actual appliances and controls.

Organise around guest needs

Start with help contacts and essential connectivity information shared through the appropriate guest channel. Group the rest under clear labels such as heating, kitchen, laundry, rubbish and departure. Arrival access belongs in the check-in instructions, with sensitive details shared privately. A long welcome letter should not hide the information a tired guest needs first.

Use a compact manual structure

  1. Getting comfortable

    Explain Wi-Fi, heating controls and how to find common household items. Identify the right remote or switch when there are several.

  2. Using the home

    Give brief steps for appliances that are unfamiliar. Link to the correct manufacturer instructions where more detail is needed.

  3. Looking after the space

    Explain bins, recycling and any property-specific care instructions in friendly, direct language.

  4. Getting help and leaving

    Provide the agreed support route and departure instructions. Keep times and contact details consistent with the booking messages.

Write instructions as an action sequence

Use a pattern like: 'Find the labelled control beside the appliance. Select the programme shown in the quick guide. Wait for the completion indicator before opening.' Adapt every step to the actual model and its manufacturer guidance. Do not publish generic operating instructions that might be wrong for the appliance in your home. A clear photograph of the correct control can be more useful than a paragraph.

Keep one current version

Add a revision date and remove old printed sheets when replacing instructions. Test the manual after a reset: can a guest find the item, complete the task and know whom to contact if it does not work? That final check makes the document useful during the stay.
