Give every issue an owner, a next action and a date for follow-up.
Use three work categories
Between-stay observations cover visible changes such as a dripping tap or damaged chair. Planned upkeep covers work that needs time or a specialist, such as servicing equipment according to its instructions. Urgent problems need prompt assessment when property damage, safety or the next arrival may be affected. Do not ask cleaners to perform electrical or other specialist repairs.
Keep a practical maintenance register
Identify the issue
Record the room, item, date noticed and a factual description. Include a photograph when useful and safe.
Decide the next step
Name the person arranging a quote or inspection. Record whether guest use or availability needs to change while the problem is assessed.
Approve the work
Keep the approval, contractor scope, budget and access arrangements together. Note any warranty or service record.
Close and verify
Record completion, invoice and any follow-up. Confirm that instructions, listing photos or guest information still match the repaired or replaced item.
Agree authority before something fails
Mellow's detailed terms distinguish coordinating repairs from paying for them. Owners remain responsible for repairs, replacements and contractor costs. Ask the team to explain the current urgent-repair authority in your agreement and how you will be informed. Provide a backup contact if you may be unavailable. A general spending preference should not substitute for a clear emergency process.
Reserve time for property care
Review the register before releasing dates for busy periods or planning your own visit. Bundle appropriate non-urgent work into an agreed access window, while letting qualified contractors determine what is safe to postpone. Keep grounds, plants and exterior responsibilities clear.
